DOCUMENT TYPES

Different transactions need different records

Full VAT invoice

Common for business transactions and cases requiring the complete supplier, customer, supply and tax breakdown.

Simplified invoice

May be permitted under national rules for eligible lower-value or specified transactions and contains fewer details.

Corrective invoice or credit note

Links to the original invoice when an error, cancellation, return, price change or refund affects the transaction.

Receipt or order confirmation

Useful proof of purchase, but it is not automatically a VAT invoice and should not be treated as one without the required details.
VAT TREATMENT

Why the amount can differ between orders

VAT is determined from the real transaction—not merely the website address or currency.
B2C

Consumer purchases

The displayed price should include applicable consumer taxes. Distance-sale and destination rules may affect where VAT is due.
B2B

Business purchases

The customer’s status and validated VAT details can matter. Domestic VAT, reverse charge or another treatment may apply.
EU

Cross-border orders

Seller and customer countries, movement of goods, stock location, thresholds and special schemes can affect the result.
3P

Imports and marketplace rules

Imports, customs value, low-value schemes and deemed-supplier rules may change who accounts for VAT and which document is issued.
A valid VAT number is evidence used in the tax assessment; it is not by itself a guarantee of zero-rated or deductible VAT. Verify the transaction with your accountant or tax authority.
WHO IS RESPONSIBLE?

Marketplace, seller and customer roles

Independent seller

Determines the legally correct invoice for its sale, applies the relevant VAT treatment, issues corrections and keeps required tax records.

Sibro marketplace

Shows the seller, keeps order records and can provide invoice-access or request tools. Sibro invoices only its own supplied services or fees.

Customer or business buyer

Provides accurate billing data, checks the invoice, requests corrections promptly and determines its own recovery and reporting treatment.

One order may contain several invoices

When products are purchased from different marketplace sellers, each seller may issue a separate invoice for its own part of the order. Sibro fees or services may be documented separately.
PROBLEMS & CORRECTIONS

If an invoice is missing or incorrect

Missing

Open the related order and use the available invoice request or seller-contact option. Confirm which seller supplied the item.

Wrong billing details

Contact the seller promptly. Whether a change can be made depends on timing and the rules for corrections in the relevant country.

Wrong VAT treatment

Explain the issue and provide only the necessary evidence. The seller should assess whether a corrective document is required.

Refund not reflected

Keep the original invoice and request the linked credit note or corrective invoice for the returned or reduced amount.
FOR MARKETPLACE SELLERS

Build invoicing into every sale

Display accurate legal identity and VAT status
Apply the correct place-of-supply and VAT treatment
Validate customer information when the treatment requires it
Issue invoices within applicable format and timing rules
Use sequential controls and prevent duplicate invoice numbers
Link corrections and credit notes to the original invoice
Preserve authenticity, integrity, readability and audit records
Support required electronic invoicing as national rules evolve

Sibro can request evidence

Sellers must be able to demonstrate their identity, tax registration, invoice controls and transaction treatment where needed for marketplace compliance or an authority request.

Storage, privacy and access

Invoice records contain business and personal information. Limit access to authorised people, use secure storage and retain documents for the period required by the applicable country and transaction. Electronic invoices should remain readable and protected against unauthorised alteration.
Do not send passwords, complete payment-card details or unrelated identity documents when requesting an invoice.

EU framework, national application

EU VAT legislation provides a shared framework, but Member States apply administrative, invoicing, language, retention and electronic-reporting requirements through national rules. VAT in the Digital Age is also changing electronic invoicing and digital reporting in stages.
This page provides general marketplace information, not tax or legal advice. Sibro’s final invoicing flows, company details and country-specific obligations require review by qualified Spanish/EU tax advisers before accepting real transactions.
COMMON QUESTIONS

VAT invoice FAQ

Not necessarily. An order confirmation or payment receipt proves the transaction but may not contain all information required for a VAT invoice. Use the invoice document issued by the seller for tax records.

The independent seller named on the offer, checkout and order is normally responsible for issuing its invoice. Sibro issues documents only for charges for which Sibro is itself the supplier.

No. A VAT number does not automatically make a purchase VAT-free. Treatment depends on validation, the parties, product, place of supply, movement of goods and applicable national and EU rules.

Ask the seller promptly. A completed invoice should not simply be overwritten where tax rules require a corrective invoice or credit note linked to the original document.

A cancellation, return, price reduction or refund may require a credit note or corrective invoice. Keep the original document and every linked correction.

Retention periods and acceptable formats differ by country and transaction. Sellers and business buyers should follow the rules that apply to their records and preserve authenticity, integrity and readability.

Sign in and open the related order in Your orders. Use an invoice or document link if one is available. If no invoice appears, contact the seller through the available order options. Download availability depends on the seller and the invoicing tools enabled for that order.

Check the order details and any invoice email from the seller, including your spam folder. Contact the seller with the order reference and your invoice request. If the issue remains unresolved, contact Sibro with the order reference and a summary of the steps already taken.

You may receive a separate invoice from each seller for its part of the order. Match each document to the relevant items and supplier. A combined checkout payment or order summary does not necessarily replace those separate invoices.

Enter the correct legal name, billing address and relevant tax details before completing checkout, using the available fields. Check them carefully. If a required field is unavailable, contact the seller before ordering. Changes to your account do not automatically correct a document already issued.

An electronic invoice can be valid when it meets the applicable invoicing requirements; receiving a PDF alone does not prove that all requirements are met. Preserve the original file and its readability. Some transactions require a structured electronic format under national rules, so check the requirements that apply to your organisation.

Compare the invoice with the relevant seller’s items, delivery charges, discounts, taxes and any refund or credit note. A payment covering several sellers may correspond to multiple invoices. Ask the issuing seller to explain any remaining difference and request a correction if needed; do not edit the issued invoice yourself.
